What managers tell us

What an association needs from a Christmas lighting vendor

Boards want a clean decision. Residents want it to look the same as last year, only better.

01

A board-ready packet

Night rendering, line-item scope, dates, certificate of insurance and W-9 in one document. Three bids are easier to compare when one of them is complete.

02

Consistency year to year

Lights are leased and stored by us, labeled by location. Year two starts with a phone call, not a redesign, and multi-year agreements lock the look and the price.

03

Many communities, one contact

Association managers often handle a dozen entrances. One proposal with a line per community, one install calendar, one invoice.

For communities

Christmas light installation for HOAs and managed communities

The entrance is the community's front door. Most boards start there.

Seasonal

Entrances, monuments & signs

Entry monuments, gates, guardhouses and signage. The piece every resident drives through nightly.

Seasonal

Tree wrapping & canopy

Boulevard and median trees wrapped trunk and limb, the upgrade residents notice most.

Seasonal

Roofline & architecture

Clubhouse and amenity center rooflines in warm white C9.

Seasonal

Wreaths, garland & bows

Lit wreaths and garland on monuments, clubhouse doors and light poles.

Seasonal

Large-scale displays

A community tree by the clubhouse or an entry arch for the neighborhood lighting night.

Included

In-season service

Timers, outages and storm damage handled all season, so resident complaints never reach the board.

Materials are not just roofline bulbs: C9 and C7 LED, mini lights for wrapping, net lights, lit garland and wreaths, bistro strands, RGB and permanent track. All commercial grade, all chosen for Texas sun and wind.

Scale

From a single gated entrance to a 9,000-home community

Master-planned and active-adult communities can have several entrances, miles of boulevard and multiple amenity centers. We walk them all on one route, propose by zone, and phase the install so every entrance is lit before the community's lighting night.

Smaller associations get the same packet and the same standard, scaled to one monument and a few trees.

Safety

Safe commercial Christmas light installation, for your people and ours

Residents walking dogs, school buses, golf carts and a lift at the entry median. Our community safety plan is built around traffic that never stops.

Insured before we arrive

Certificate of insurance and W-9 with every proposal. Your risk manager can see coverage before anyone sets foot on site.

Lifts and fall protection

Boom lifts, harnesses and ladder protocols for roofline and canopy work. No one freelances on a parapet.

From the plug out

We work from the outlet out: GFCI-protected circuits, commercial-grade cords and timers, nothing overloaded. Need a new circuit? We connect you with a licensed electrician or walk your own electrician through the plan.

Clear walkways

No cords across sidewalks, ADA routes or fire lanes. Cords secured and covered; cones and tape around active work.

Around your hours

Early morning, after hours and weekend installs so work zones never meet your busiest hours.

One safety plan

Every crew on your property, Sapien's own or a partner crew we supervise, works to the same plan and the same standard.

Questions

HOA Christmas lighting FAQ

Can you give the board something it can approve in one meeting?
Yes. The proposal includes a night rendering, line-item scope, schedule, COI and W-9. Boards usually approve from the rendering.
Will it look the same next year?
Yes, unless you want changes. Lights are leased, labeled and stored by us, and multi-year agreements lock the look and the price.
We manage many communities. Can you quote them together?
Yes. One site-walk route, one proposal with a line per community, one calendar and one invoice.
Can you light the median trees on a public street?
Often yes, depending on who owns the right of way. We check on the site walk and tell you what permission, if any, is needed.
Our budget was set in September.
Most are. Proposals are line-itemed so the entrance can be done this year and the boulevard added next, with the design already in place.
Does someone need to be at the entrance during install?
No. If we can reach the entrance and its outlets have power, no board member or manager has to be there. We test the lights before we leave and send you photos. If an entrance has no working outlet, we flag it on the site walk.
Who do we call if the entrance lights go dark?
Anyone on the board or management team can call (737) 777-9099 or email contact@sapienlighting.com. We’re usually on site within 48 hours. If our lights or our install caused it, the fix is at no charge.
What if a storm or animals damage the display?
Your first service trip for weather or animal damage is free. After that, we quote any trip before we roll, so there are no surprise invoices.
What happens if weather hits our install date?
Crews don’t work on ladders, lifts or roofs in rain, hail, sleet or snow. We tell your contact as early as we can and move you to our next open slot.
Are there discounts for HOAs?
Yes. A multi-season agreement gets you better pricing and locks the look. If your board also recommends Sapien to residents, we can set up a discount on their own home lights. Call us and we’ll walk you through what that includes.
